Expense management for UAE service businesses

Record business expenses with the context your accountant needs.

Enter spending, explain its purpose, and review the evidence. Paid plans keep uploaded receipts with the expense; missing details stay visible for follow-up.

Diwanio helps you record an expense’s date, description, currency, amount, entered tax details, supplier, and evidence state. On a plan that includes uploads, attach the source receipt. Review any linked bank payment and resolve missing information before professional accounting or tax review.

How the workflow changes

How the workflow changes

UAE service businesses and their reviewers that need source-linked records, assigned questions, and a defined monthly handoff.

  1. 01

Record the date, description, currency, amount, and entered tax details.

  2. 02

Keep a supplier and business explanation with the expense.

  3. 03

Attach receipt evidence when your plan includes document uploads.

  4. 04

Review evidence states and any linked bank transaction before approval.

A receipt, step by step

Keep the reason for the expense beside its record.

Imagine a freelancer recording a software subscription used for client work. The receipt and business context belong in the same review.

Illustrative workflow. This is not a customer record or a conclusion about tax deductibility.

  1. 01

    Record the expense

Enter the description, date, currency, amount, and relevant supplier. Check the entered tax details against the source record.

  2. 02

    Add evidence and business context

On a plan with document uploads, attach the receipt and explain the business purpose in the description. Mark incomplete or missing evidence so it stays visible.

  3. 03

    Review the record and payment

Save the draft, inspect its details, and review any linked bank transaction. Resolve missing information before your accountant confirms the treatment.

An expense with its source and explanation

The saved record keeps the description, amount, tax details, evidence state, and available receipt link together. A linked bank transaction can show how it was paid.

Free lets you enter expense records but does not retain receipt uploads. Essential includes document storage; OCR begins with Growth when its provider is enabled. A receipt or extracted value does not establish tax recoverability.

Petty cash on Essential

Follow funding, spending, and cash returned.

A fictional business funds petty cash with AED 500, records AED 120 of business spending, then returns AED 80 to its main cash balance. Each movement is recorded in an open accounting period.

Illustrative cash movements only. The figures do not show an actual transfer, reimbursement, or customer result.

  1. 01

    Record AED 500 of funding

Choose the funding movement, date, AED currency, amount, and description. Record the actual cash made available to petty cash; the software does not move money between accounts.

  2. 02

    Record AED 120 of spending

Choose spending and describe the business purpose. Record the evidence state and keep supporting records available for review. Spending cannot exceed the available petty-cash balance.

  3. 03

    Record AED 80 returned

Choose the return movement for cash actually returned to the main cash balance. Check the amount and date before posting. The example leaves AED 300 in petty cash: 500 − 120 − 80.

AED 300 remains in the example petty-cash balance

Funding, spending, and returns remain distinct movements with their dates, descriptions, evidence states, and linked journal references. Check the recorded balance against the cash actually held.

Petty cash starts with Essential and requires an open period for posting. It is separate from employee reimbursement, corporate cards, automatic approval, bank transfers, and VAT recovery decisions.

Review the source before the treatment

Review the source before the treatment

An expense draft shows its entered values, evidence state, and available receipt link. Check the record against the source; the accountant confirms its accounting and tax treatment.

  • Inspect the amount, currency, entered tax, and business description.
  • See whether evidence is complete, missing, partial, or under review.
  • Follow an available receipt or bank link back to its source.

UAE expense-management questions

Check manual record entry, receipt storage, extraction, and the reviewer’s role.

Can I record expenses for free?

Yes. Free supports up to 50 expense records each month for one legal entity and one user. It does not include receipt uploads or retained document storage. Keep source documents separately, or choose a paid plan with uploads.

Can I attach a receipt to an expense?

Essential and Growth include document uploads and 5 GB of retained storage. Attach an eligible file to the expense or link an existing workspace document. Free does not include retained uploads.

Does Diwanio read receipt details automatically?

OCR starts with Growth and depends on an enabled provider and release availability. Review extracted values against the receipt before using them; extraction does not confirm accounting or tax treatment.

What if a receipt is missing?

Record the business context and set the evidence state to reflect what is missing or incomplete. Keep the unresolved information visible for follow-up instead of treating the record as fully supported.

Can I link an expense to its bank payment?

An expense can carry a linked bank transaction when recorded with a bank account or matched during reconciliation. Check the account, amount, and source before confirming the relationship.

Does Diwanio support petty cash?

Essential includes a petty-cash workflow for funding, spending, and cash returned, with linked journals. Posting requires an open period; spending and returns cannot exceed the available balance. It is separate from employee reimbursement, automatic approval, and bank transfers.
