1. Who is responsible for your information
Unlock The Move FZ-LLC is responsible for the personal information that we collect about our website visitors, account holders, and service contacts. If you use Diwanio through a company or workspace, that company may control the personal information it enters about its customers, suppliers, employees, and other people. In that situation, Diwanio processes that information to provide the service on the workspace's instructions.
2. Information we collect
Depending on how you interact with Diwanio, we may collect:
- Identity and contact information such as your name, email address, phone number, company name, job title, and correspondence.
- Account and security information such as login details, authentication records, role, permissions, language, and security events.
- Workspace and financial information that you or an authorised workspace member upload or create, including invoices, receipts, bills, expenses, contacts, bank transactions, journal entries, tax information, documents, comments, and review decisions.
- Integration, payment, and billing information needed to connect an approved provider, manage a subscription, process a payment, or answer a billing query. Payment card details may be handled directly by the payment provider.
- Technical and usage information such as IP address, browser and device details, approximate location inferred from the IP address, pages visited, feature usage, diagnostic logs, and cookie choices.
- Information you provide when you contact support, request a data export or deletion, report a problem, or respond to a survey.
3. How we receive information
We receive information directly from you, from your workspace administrator or accountant, from an integration that you authorise, and automatically from the device or browser you use. Before submitting information about another person, you must have a lawful reason and any permission required to share it with us.
4. How we use information
We use personal information to:
- create and secure accounts, authenticate users, and administer workspace roles;
- provide, maintain, troubleshoot, and improve Diwanio and its financial operations, document, review, and collaboration features;
- process documents and provide calculations, classifications, or suggestions that remain subject to your review;
- process subscriptions, payments, invoices, support requests, and service communications;
- detect abuse, fraud, malware, security incidents, and violations of our Terms of use;
- understand product performance and improve the reliability and usability of our websites and services;
- send service, security, legal, and account notices, and send optional marketing communications where permitted and subject to your preferences; and
- comply with applicable law, respond to lawful requests, establish or defend legal claims, and protect the rights and safety of our users and business.
Our reasons for processing may include providing a service you requested, performing our contract with you or your organisation, complying with a legal obligation, obtaining consent where required, and pursuing legitimate business interests that do not override your rights.
5. Workspace data and service providers
You and your organisation retain your rights in the information you submit to a workspace. You give us permission to host, store, transmit, display, back up, and otherwise process that information only as needed to provide, secure, support, and improve the service and to meet our legal obligations.
We may use carefully selected providers for hosting, storage, email, payments, authentication, security, document processing, analytics, customer support, and other infrastructure. These providers may process information on our behalf under contractual confidentiality and security obligations. We do not sell workspace data or personal information.
You control whether to enable an integration and what information it can access. An integration's own terms and privacy notice apply to the information it processes after it leaves Diwanio.
6. When we share information
We may share information:
- with authorised workspace members, owners, administrators, accountants, or advisers according to the permissions configured by the workspace;
- with providers and integration partners that help us deliver a feature you or your organisation has requested;
- with professional advisers, insurers, or prospective investors or buyers when reasonably necessary for a corporate transaction, subject to confidentiality protections;
- with courts, regulators, law enforcement, government authorities, or other parties where disclosure is required by law or reasonably necessary to protect rights, safety, or the service; or
- with your consent or at your direction.
7. International processing
Our providers or their infrastructure may process information outside the United Arab Emirates. Where information is transferred internationally, we use appropriate contractual, technical, and organisational safeguards required by applicable law and take reasonable steps to ensure that the information receives suitable protection.
8. Security
We use reasonable technical and organisational measures designed to protect information against unauthorised access, alteration, loss, misuse, or disclosure. No online service, transmission, or storage system can be guaranteed completely secure. You are responsible for keeping credentials confidential, selecting appropriate workspace permissions, and notifying us promptly of suspected unauthorised access.
9. Retention and deletion
We retain information for as long as needed to provide the service, maintain security, resolve disputes, enforce agreements, support audits, and meet accounting, tax, regulatory, or other legal obligations. When an account or workspace is closed, we will delete or anonymise information in accordance with our retention practices, unless continued retention is required or permitted by law, or the information remains in a secure backup for a limited period.
10. Your choices and rights
Subject to applicable law and reasonable verification, you may ask us to access, correct, update, export, restrict, or delete personal information. You may also object to or withdraw consent for optional processing, and unsubscribe from marketing messages. Service and legal notices may still be sent when necessary to operate your account or comply with our obligations.
If the information belongs to a workspace, contact the workspace administrator first. You can also contact us at the address below. We may need additional information to verify your request and may retain information where the law requires or permits us to do so.
11. Children
Diwanio is a business service and is not directed to children. Do not create an account or submit personal information to Diwanio if you are not legally able to use the service.
