Credit note meaning and invoice corrections
Credit note vs invoice: what changes, and what stays on record?
An invoice records the original sale and the amount billed. A credit note, also called a credit memo, records a reduction against an existing invoice. A refund is the separate act of returning money; posting a credit note does not itself refund cash.
For UAE VAT terminology, the FTA glossary distinguishes a tax invoice recording a taxable supply from a tax credit note recording a reduction or cancellation of that supply. The example below explains the records and arithmetic, then shows the current Diwanio workflow. Your qualified adviser confirms whether a tax credit note is required and which details and treatment apply.
Credit notes are part of the authenticated customer-invoicing workspace, with normal workspace access and no additional Growth requirement. Free allows 5 source invoices per month for one legal entity and one user, with no retained document uploads. Compare current plans for invoice activity, users, and storage.

A fictional unpaid invoice adjustment
An AED 210 credit leaves AED 840 due.
A fictional service business has an issued, unpaid invoice for AED 1,050 and agrees an AED 210 reduction. The fictional transaction uses tax-exclusive service amounts and an entered 5% VAT rate assumed to have been confirmed by an authorised user and their adviser.
Illustrative data only. The customer, transaction, amounts, and agreed adjustment are fictional. This is a worked explanation, not a product screenshot, customer result, or tax advice.
- 01
Open the eligible source invoice
Review the issued invoice, its customer, currency, original amounts, recorded payments, and previous credits. Here the invoice is unpaid: AED 1,000 for services plus AED 50 of entered VAT, totalling AED 1,050.
- 02
Save a credit-note draft with a reason
Against the invoice, enter the agreed reason, an issue date no later than today, an AED 200 service adjustment, and AED 10 tax adjustment. The draft totals AED 210 and keeps the original invoice currency. It has no final credit-note number yet.
- 03
Review the amounts before posting
Confirm the reason, date, and tax treatment. Posting requires an open accounting period; a positive tax amount also requires an active workspace VAT profile for the note date. Diwanio rechecks the remaining creditable total and tax before allocating a number and posting the linked journal.
- 04
Download the PDF and check the open balance
Review the posted credit note and download its PDF from the workspace. With no recorded payments or earlier credits, AED 1,050 minus AED 210 leaves AED 840 due. The original invoice total remains AED 1,050; the separate posted credit explains the reduction.
The original invoice and the correction remain separate records
The posted credit note has its own number and linked accounting entry. The invoice’s open balance reflects the credit without rewriting the original sale. Keep the agreed reason and supporting context available for your accountant.
This example uses an unpaid invoice. Diwanio also allows credits against eligible partially paid, paid, or overdue invoices, but any resulting refund or settlement needs separate review. A credit-note PDF does not establish tax validity or submit a regulated e-invoice.
Invoice, credit note, and refund serve different purposes
| Record or action | What it explains | What happens to cash |
|---|---|---|
| Invoice | The original sale, service details, and amount billed to the customer. | Recording an invoice does not itself receive payment. |
| Credit note / credit memo | A reduction linked to the original invoice, with a reason and adjustment amounts. | Posting the credit reduces the receivable; it does not itself return money. |
| Refund | Money returned to the customer through a separate settlement action. | Cash moves only when the refund is actually made. |
Check the arithmetic without replacing the invoice
| Record | Service amount | Entered VAT | Total or open balance |
|---|---|---|---|
| Original issued invoice — unchanged | AED 1,000 | AED 50 | AED 1,050 |
| Separate posted credit note | AED 200 | AED 10 | AED 210 |
| Remaining receivable — not a replacement invoice | — | — | AED 840 |

Check the creditable amount, tax treatment, and separate settlement.
The creditable total is the original invoice total less earlier issued or posted credits; the tax adjustment is separately capped by the original tax less earlier finalised credit tax. This cap is not simply the unpaid balance. Draft credits do not reduce the receivable. Posting rechecks the caps and rejects a note already posted. Review any paid or partly paid invoice with your accountant before settling money. Diwanio does not certify compliance, file tax returns, or currently submit UAE e-invoices through an accredited service provider.
Credit note questions
Understand the document, the adjustment, and the work that still needs review.
What does credit note mean? Is it the same as a credit memo?
A credit note records a reduction against an existing invoice. Credit memo is another commonly used name for the same type of document. For a UAE tax credit note, confirm the applicable requirements and tax treatment with your qualified adviser.
What is the difference between an invoice and a credit note?
The invoice records the original amount billed. A separate credit note records an agreed reduction and links it to that invoice. In Diwanio, posting the credit reduces the receivable while preserving the original invoice total.
Does a credit note mean the customer has been refunded?
No. Posting a credit note does not itself issue a cash refund. The customer may still owe a reduced balance, or a paid invoice may need a separate settlement decision. Check recorded payments and discuss any refund with the responsible finance person.
Is this a credit-note template or proof of UAE VAT compliance?
This page provides an explanation and fictional example. In an authenticated Diwanio workspace you can prepare, post, and download a credit-note PDF linked to an eligible invoice. A PDF does not certify compliance, confirm tax treatment, or submit a regulated e-invoice. Your adviser confirms the required fields and supporting evidence.
Do credit notes require Growth, and what are the Free limits?
The credit-note workflow uses normal customer-invoicing workspace access and has no additional Growth requirement. Free allows one legal entity, one user, and 5 source invoices per month, with no retained document uploads. The source invoice must be eligible for the adjustment. See current pricing for activity, storage, and user limits.
How much can I credit against an invoice in Diwanio?
The note’s total cannot exceed the original invoice total minus earlier issued or posted credits. Its tax amount cannot exceed the original tax minus earlier issued or posted credit tax. These controls apply when saving and again when posting; they are separate from the current unpaid balance. Posting also requires a draft note, an open period, and an active VAT profile when the tax adjustment is positive.
